Draft — pending legal review
This Privacy Policy is a plain-English draft that has not yet been reviewed by counsel. It describes how RingGame works today and may change before launch. Material changes will be announced in the app.
1.Who we are
This policy explains how RingGame, Inc. ("RingGame", "we") collects, uses and shares personal information when you use the RingGame website and app (the "Service"). RingGame is based in the United States and the Service is offered to adults (18+) in the United States. Questions: play@ringgame.com.
2.Information we collect
You give us
- Account details: first and last name, username, email address, password (stored only as a secure hash by our authentication provider), optional phone number, city and state.
- Sign-up answers: for players, favourite game and format and play style; for venue owners, business name, venue type, table count and whether you host events.
- Profile: display name, avatar photo, a self-reported Fargo rating and Fargo ID, and your privacy and notification preferences.
- Venue information (venue owners): address, hours, tables, photos and contact details for the venue.
- Messages and content: direct and group messages, chat-room posts, match dispute notes and evidence, Ringmaster feedback and similar content.
- Support: support tickets and their messages, and — if you use shake-to-report or attach files — screenshots and attachments, plus a short technical context (the page you were on, device and browser type, and recent error messages).
Created when you use the Service
- Competitive records: matches, scores, confirmations, disputes and rulings, tournament registrations and check-ins, placements, ratings, rating history, streaks and stats.
- Social graph: friends, rivals, team memberships and referrals (who invited whom and whether the referral qualified).
- Membership card: a card number and secret QR code; when staff or a venue scans your card, the scan is logged.
- Calendar: your events and a secret calendar-feed token.
- Usage and audit data: pages and features used (first-party engagement analytics), notifications, and an audit log of changes made to records, with timestamps and the account that made them.
- Technical data: IP address, browser and device information and timestamps, collected by our hosting and database providers in server logs.
From others
- Other players, Ringmasters and organisers create records that include you (a match result, a tournament draw, a dispute ruling, a report about a message).
- If you choose to connect Google Calendar, we receive the access needed to sync events with the calendar you pick.
3.How we use it
- To run the Service: create your account, run matches and tournaments, calculate ratings and rankings, show leaderboards, deliver messages and notifications, and sync calendars.
- To keep competition fair and the community safe: verify results, handle disputes, moderate chat, investigate reports, prevent cheating, fraud and abuse, and enforce our Terms.
- To provide support and respond to you.
- To understand and improve the Service, using aggregated usage analytics.
- To communicate with you about your account, events you joined and important changes. You can manage notification preferences in Settings.
- To comply with law and protect rights and safety.
We do not sell your personal information, we do not share it for cross-context behavioural advertising, and we don't use third-party advertising trackers.
4.What other people can see
- Signed-in members can see your display name, username, avatar, city/state, rating, rank and match/tournament record, and Ringmaster feedback averages (for Ringmasters).
- The public (anyone with the link, including people without an account) can see share pages for profiles, matches and tournaments, which show names, usernames, avatars, ratings, ranks and results. Published news articles are public.
- Public profile setting: turning off Public profile in Settings → Privacy hides you from public leaderboards, the player directory and search. Friends and staff can still see you, and people who played in a match or tournament with you will still see it in that record.
- Chat: messages in World Chat and venue rooms are visible to every signed-in member. Direct and group messages are visible to participants. Moderators and staff can view reported messages.
- Staff (administrators and regional managers) can access account and support information as needed to operate the Service. Ringmasters see the matches they referee and anonymised feedback about themselves.
7.How long we keep data
- Account and profile: while your account is active.
- Deactivation: you can request deactivation in Settings → Privacy. Your profile is removed from public view straight away, and your personal data is retained for 30 days (so mistakes can be reversed) before it is permanently deleted or anonymised.
- Competitive records: completed matches, tournament results and rating history involve other players. After deletion we keep them in anonymised form so brackets, standings and other players' histories stay correct.
- Messages: messages you sent in shared conversations or rooms may remain visible to other participants, without your profile, after deletion.
- Support tickets, moderation and audit logs: kept for as long as reasonably needed to resolve issues, defend against claims and meet legal obligations, then deleted. [Retention period pending legal review.]
- Server logs held by our providers are kept for their standard short periods.
8.Your choices and rights
- Access and correction: view and edit most of your information in Settings and on your profile.
- Visibility: control your public profile and online status in Settings → Privacy, and notifications in Settings.
- Calendar feed: reset your feed link at any time to cut off existing subscriptions.
- Deletion: request deactivation and deletion in Settings → Privacy or by email.
- Copy of your data: email us to request a copy of your personal information.
Depending on where you live (for example California, Colorado, Connecticut, Virginia and other US states with privacy laws), you may have rights to know, access, correct, delete and port your data, and to opt out of sale, sharing and targeted advertising — which we don't do. We'll verify your identity before acting on a request and won't discriminate against you for exercising your rights. Email play@ringgame.com with "Privacy request" in the subject.
9.Security
We protect data with encryption in transit (HTTPS), row-level access controls in the database so members can only reach data they're allowed to see, private storage for support attachments, audit logging of changes, and strict browser security headers. No system is perfectly secure; if we learn of a breach affecting you we'll notify you as required by law.
10.Children
RingGame is for adults 18 and over. We don't knowingly collect information from anyone under 18. If you believe a minor has an account, email us and we'll remove it.
11.Payments and future features
RingGame doesn't currently process payments, hold funds or offer wagering, so we don't collect bank or card details. If we add paid features in the future they'll come with separate terms and an updated privacy notice explaining any additional data (such as identity verification or payment information) before you use them.
12.Changes to this policy
We'll update this policy as the Service changes. For material changes we'll notify you in the app or by email before they take effect. The "Last updated" date above shows the latest version.
